About the facility

Barwon Health is the major regional health provider for the Barwon South West Region.  It is Victoria’s largest regional health services with one of the busiest Hospital’s in the State, University Hospital Geelong.  We serve over 500,000 people through the efforts of over 7,500 staff and more than 1,200 volunteers.  We provide care at all stages of life and circumstance through a wide range of services from emergency and acute to mental health, primary care, community services, aged care and subacute/rehabilitation.  Care is provide to the community through over 28 key locations throughout the region.

Barwon Health’s Geelong Cardiology Practice provides comprehensive cardiology services to patients from across the region. Our facilities include two new Catheter laboratories, providing EP, Pacing and 24/7 STEMI services, a full cardiac diagnostics service is provided including seven Echo rooms.

About the role

As the Administration Assistant you will be required to provide administrative support to the cardiology services within Barwon Health.

The Administration Assistant will be required to:

  • Greet all customers in a friendly manner arriving for appointments
  • Check customer details
  • Make follow up appointments as required and ensure patients are billed
  • Ascertain external or internal customer needs, assess urgency and address promptly and accordingly
  • Manage client information including all documentation and files in a confidential, timely and accurate manner
  • Process, schedule, maintain and update all relevant patient information, ensuring that patients details are current and correct
  • Ensure all patients are invoiced at time of consultation or diagnostic tests

Essential: Advanced computer skills in software applications including Microsoft Office applications such as Word, Excel, Power Point, Outlook and Access
Desirable: Previous clerical / administration experience in a busy Medical practice
Desirable: Demonstrated proficient in audio typing software e.g. Dictaphone and voice recognition programs
Desirable: Certificate or higher in secretarial or business studies
